Job Description:

Job Summary:



The Admin Clerk is responsible for providing administrative support to the construction team, focusing on electrical and instrumentation projects. This role involves managing office tasks, maintaining records, assisting with project documentation, and coordinating communications between project teams and stakeholders. The Admin Clerk ensures that administrative processes run smoothly and supports the efficient operation of the construction office.

Tasks will include but are not limited to:



Key Responsibilities:



  • Manage and process vendor and credit application: Receive and process documentation for new vendors, this entails checking that all documentation supplied is current and correct, processing their applications and attaching documentation on Sage. Documentation is verified by accounts to ensure on Commercial and legal compliance.
  • Tracking and updating BEE certification for suppliers: Track the status of BEE certifications and ensure they are updated as required, ensuring compliance.
  • Tracking credit application status: Processing Credit Applications, ensuring the different department i.e. Commercial and Finance have approved and signed. On Completion the Credit Application is returned to supplier with required back-up documentation. Approval of Credit Applications must be followed up.
  • Filing electronically and manually: Maintain both digital and physical records related to procurement and vendor management for easy access and reference.
  • Updating supplier's details on Sage: Updating and maintaining accurate supplier information within the Sage system, including contact details, payment terms, and other relevant data.
  • Assisting with PR & PO loading: Assisting with the entry and management of Purchase Requisitions (PR) and Purchase Orders (PO) into the system.
  • Checking Delivery Notes: Checking that delivery Notes received from the store are correct, over deliveries, price discrepancies need to be corrected before Invoices are sent to accounts.

 

Qualifications and Experience:



  • High school diploma or equivalent.
  • 1-3 years of experience in an administrative role, preferably within the construction industry with a focus on electrical and instrumentation projects.
  • Technical Skills:
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and office management software.
    • Familiarity with construction terminology and documentation is a plus.
  • Organizational Skills:
    • Strong organizational and time management skills, with the ability to handle multiple tasks and priorities effectively.
  • Communication:
    • Excellent verbal and written communication skills, with the ability to interact professionally with team members, clients, and suppliers.
  • Attention to Detail:
    • High level of attention to detail to ensure accuracy in data entry, document management, and administrative tasks.
  • Problem-Solving:
    • Effective problem-solving skills to address administrative issues and implement solutions.
  • Teamwork:
    • Ability to work collaboratively with project teams and other departments to achieve common goals.


Work Environment:



  • Hours: Standard business hours. Potential overtime may be required based on project demands and logistics needs.
