Job title: Finance Administrator

Qualification & Experience Requirements

  • Diploma or Certificate in Bookkeeping, Accounting, or Financial Administration (e.g., NQF Level 4–6)
  • 2–4 years of experience in a finance or accounting administrative role
  • Hands-on experience with: Accounts payable/receivable, Processing purchase orders and supplier invoices, Bank reconciliations (basic), Data entry in accounting system
  • Familiarity with basic month-end procedures and document preparation for audits
  • Experience working in a team-based finance department or supporting accountants/finance managers
  • Working knowledge of accounting software (e.g., Pastel, Sage, Xero, QuickBooks, SAP)
  • Proficient in Microsoft Excel, Word, and Outlook
  • Comfortable using document management systems and filing protocols (both electronic and paper-based)

Responsibilities

  • Assist the finance team with day-to-day administrative and bookkeeping tasks.
  • Capture and maintain accurate records of financial transactions, including accounts payable and receivable.
  • Prepare and process purchase orders, ensure supporting documents are in place, and follow up on approvals.
  • Review and process supplier invoices, ensuring accuracy and timely payment in accordance with company procedures.
  • Reconcile supplier statements and assist in resolving any invoice or payment discrepancies.
  • Perform basic bank reconciliations and assist with cashbook entries under supervision.
  • Maintain organized filing systems for financial documents, invoices, receipts, and purchase orders (both digital and physical).
  • Support month-end processes by preparing documentation, capturing data, and updating spreadsheets.
  • Assist with petty cash reconciliation and preparation of documentation when required.
  • Enter financial data into accounting systems and ensure accuracy of information captured.
  • Provide general administrative support to the finance team, including data entry, document management, and correspondence.
  • Assist with maintaining compliance by adhering to internal policies, financial procedures, and administrative standards.
  • Support the finance team with audit preparation by retrieving and organizing required documentation.
  • Communicate professionally with suppliers and internal departments regarding purchase orders, invoice queries, and payment statuses.
