Job Description:

To accurately record, verify, monitor, and control the movement of cargo, products, materials, containers, and inventory during receiving, storage, dispatch, loading, and unloading operations. The Tally Clerk is responsible for ensuring that all cargo quantities, conditions, and documentation correspond with operational records and customer requirements while maintaining a high standard of accuracy and compliance.

Key Responsibilities

Cargo Receiving and Dispatch:

  • Verify all incoming and outgoing cargo against delivery notes, manifests, packing lists, invoices, and shipping documents.
  • Count, record, and reconcile cargo quantities accurately.
  • Monitor loading and unloading activities to ensure cargo is handled according to procedures.
  • Confirm cargo descriptions, weights, marks, serial numbers, and package counts.
  • Record shortages, overages, damages, and discrepancies immediately.
  • Ensure cargo is received and dispatched according to client instructions/SOP.

Tallying and Documentation

  • Maintain accurate tally sheets and operational records.
  • Complete receiving reports, dispatch reports, stock transfer records, and cargo movement documentation.
  • Capture cargo information into manual and electronic systems.
  • Verify shipping and transport documentation before cargo release.
  • Ensure all records are completed accurately and submitted within required timeframes.
  • Prepare daily tally and productivity reports.
Inventory Control
  • Assist with stock counting activities.
  • Verify inventory balances and report discrepancies.
  • Monitor stock movements within warehouses and storage yards.
  • Ensure goods are stored in correct locations.
  • Assist in investigations relating to inventory variances.
  • Support inventory reconciliation processes.

Warehouse and Yard Operations

  • Monitor cargo movement within the warehouse and yard.
  • Confirm correct stacking and storage of cargo.
  • Ensure cargo identification labels remain visible and legible.
  • Coordinate with forklift operators and warehouse staff regarding cargo movements.
  • Verify picking and packing activities against customer orders.
  • Assist in cargo hooking, inspections and condition surveys.

Vessel, Container and Port Operations (Where Applicable)

  • Tally cargo during vessel loading and discharge operations.
  • Verify container numbers and seal integrity.
  • Record cargo loaded or discharged from vessels.
  • Monitor stevedoring activities and cargo handling performance.
  • Ensure cargo movements correspond with manifests and shipping instructions.
  • Communicate discrepancies to supervisors immediately.
  • Inspect cargo for visible damage.
  • Record damaged cargo and prepare discrepancy reports.
  • Assist with cargo investigations and claims processes.
  • Ensure compliance with customer quality requirements.
  • Report safety and quality concerns immediately.

Health and Safety Compliance

  • Follow all company safety procedures and site regulations.
  • Attend toolbox talks and safety meetings.
  • Wear mandatory Personal Protective Equipment (PPE).
  • Identify and report hazardous conditions.
  • Ensure safe work practices during cargo handling operations.
  • Participate in incident investigations when required.

Communication and Coordination

  • Liaise with supervisors, warehouse personnel, drivers, customers, freight forwarders, and stevedores.
  • Communicate cargo discrepancies and operational issues promptly.
  • Provide accurate operational updates to management.
  • Maintain professional relationships with internal and external stakeholders.

Minimum Qualifications

Essential

  • Grade 12 (NSSC/NSSCO) or equivalent.
  • Basic mathematics and numerical competency.
  • Good written and verbal communication skills in English.
  • Computer literacy (Microsoft Office).

Advantageous

  • Certificate in Logistics, Warehousing, Supply Chain, Port Operations, or related field.
  • Cargo handling training.
  • Health and Safety training.
  • Valid driver's licence.

Experience Required

Essential

  • Minimum 2 years' experience in tallying, warehousing, logistics, transport, shipping, cargo handling, or inventory control.
  • Experience working with operational documentation.
  • Experience handling stock and cargo verification processes.

Preferred

  • Experience in port and terminal operations.
  • Experience with containerized cargo.
  • Experience using Warehouse Management Systems (WMS).
  • Experience in inventory reconciliation and stock control.
