Procurement Officer
Job Description:
We are looking for a highly organized and detail-oriented Procurement Officer to manage the end-to-end processing, procurement, tracking, and distribution of Personal Protective Equipment (PPE) across all APS branches. The successful candidate will be responsible for ensuring PPE requests are processed accurately and efficiently, orders are placed and tracked, stock levels are maintained, and all related documentation and invoices are accurately recorded.
Key Responsibilities:
- Receive and process PPE requests from all APS branches.
- Review PPE requirements and place orders directly through the supplier’s website.
- Liaise with suppliers regarding orders, availability, deliveries, and any discrepancies.
- Update and maintain the PPE Budget and monitor expenditure against the allocated budget.
- Process PPE orders and related documentation on the APSUAT system.
- Capture and process supplier invoices on APSUAT.
- Track outstanding orders and follow up with suppliers where required.
- Upon receipt of PPE, check all items and quantities against the supplier invoice/order to ensure the delivery is correct.
- Report any shortages, incorrect items, or discrepancies to the supplier and arrange for resolution.
- Notify the relevant branch/Operations team when requested PPE has arrived.
- Prepare PPE for dispatch to other branches when required.
- Pack, box, seal, and label PPE securely for courier collection.
- Liaise with the Receptionist to arrange courier collection and delivery of PPE to the relevant branch.
- Maintain accurate records of PPE requests, orders, deliveries, invoices, and dispatches.
- Monitor PPE stock levels and order additional stock when required.
- Ensure PPE requests and orders are processed accurately and within the required timeframes.
- Maintain organised PPE documentation for tracking and auditing purposes.
Requirements:
- Grade 12
- Relevant tertiary qualification in Procurement, Supply Chain, Logistics, or Business Administration is advantageous.
- 3-5 years experience in procurement, supply chain, stock control, logistics, or a related field.
- Proven experience managing suppliers, procurement processes, orders, invoices, budgets, and stock.
- Strong knowledge of procurement and inventory management processes.
- Excellent Microsoft Office and Excel skills; experience with ERP/procurement systems is advantageous.
- Strong organisational, analytical, and problem-solving skills.
- Excellent communication and stakeholder management skills.
- Ability to work independently, manage multiple priorities, and meet deadlines.
- High level of accuracy, accountability, and attention to detail.
- Experience managing procurement or PPE requirements across multiple branches/locations.
- Valid driver's license will be an advantage.
