Job Description:

Job Purpose:

The QA Coordinator is responsible for the overall management, maintenance, compliance, monitoring, and continual improvement of the ISO 9001:2015 Quality Management System (QMS). This role serves as the QMS custodian and primary point of contact for all quality-related matters, ensuring that quality processes are effectively implemented, maintained, audited, measured, and improved throughout the organisation.

Key Responsibilities:

Quality management system ownership

  • Maintain full responsibility for the ISO 9001:2015 quality management system (QMS).
  • Ensure all QMS processes, procedures, records, and controls are established, implemented, maintained, and continuously improved.
  • Ensure ongoing compliance with ISO 9001:2015 requirements and certification standards.
  • Monitor QMS effectiveness and recommend improvement initiatives.
  • Report on QMS performance, risks, trends, and improvement opportunities.
  • Maintain effective communication with the certification body and coordinate all certification activities.

Internal & external auditing

  • Develop and manage the annual internal audit programme.
  • Conduct internal process and departmental audits in accordance with the audit schedule.
  • Prepare audit reports and ensure timely closure of audit findings.
  • Develop and manage supplier audit schedules and conduct critical supplier audits.
  • Conduct subcontractor qualification and assessment audits as required.
  • Coordinate and manage all external audits, including certification, surveillance, and client audits.
  • Facilitate root cause analysis and corrective actions arising from audit findings.

Supplier quality management

  • Maintain and manage the approved supplier list.
  • Coordinate annual supplier evaluations and monitor supplier performance.
  • Issue supplier alerts where required and ensure corrective actions are implemented and closed.
  • Participate in supplier qualification and vendor approval processes.
  • Provide quality-related information for vendor applications and customer prequalification submissions.

Document & process control

  • Maintain and update the quality manual and all controlled QMS documentation.
  • Review and update the quality policy, organisational context, interested parties register, risks and opportunities register, and strategic direction documentation.
  • Ensure effective document control and record retention processes.
  • Monitor departmental quality objectives and report performance against targets.

Training & awareness

  • Facilitate quality management system induction training for new employees.
  • Provide QMS awareness and process training to employees as required.
  • Promote a culture of quality, compliance, and continual improvement across the organisation.

Non-conformance & corrective action management

  • Manage the non-conformance reporting (NCR) process.
  • Coordinate investigations, root cause analysis, corrective actions, and effectiveness reviews.
  • Ensure customer complaints are investigated, recorded, addressed, and closed out effectively.
  • Monitor corrective and preventive actions arising from audits, incidents, complaints, and improvement initiatives.

Customer satisfaction & continual improvement

  • Manage customer satisfaction surveys and feedback processes.
  • Analyse customer feedback and identify improvement opportunities.
  • Maintain customer feedback and complaint registers.
  • Coordinate lessons learned activities and communicate outcomes across the business.
  • Drive continual improvement initiatives aligned with business objectives and ISO 9001 requirements.

Management review & reporting

  • Plan, prepare, coordinate, and facilitate annual management review meetings.
  • Compile presentations, reports, performance metrics, and improvement recommendations.
  • Monitor and ensure closure of management review actions.
  • Maintain QMS performance reporting dashboards and quality metrics.

Compliance & equipment control

  • Monitor equipment control registers and ensure calibration, inspections, certifications, and testing activities are completed as required.
  • Ensure compliance-related records are maintained and reviewed.
  • Monitor quality risks and mitigation actions.

Group & stakeholder engagement

  • Act as the organisation's primary quality assurance representative.
  • Participate in Group QA meetings and provide quality performance input.
  • Liaise with customers, suppliers, auditors, certification bodies, and other external stakeholders on quality matters.

Knowledge

  • In-depth understanding of ISO 9001:2015 requirements and quality management principles.
  • Strong knowledge of quality assurance, auditing methodologies, risk management, and continual improvement practices.
  • Knowledge of corrective action systems and root cause analysis techniques.
  • Matric (Grade 12).
  • ISO 9001:2015 introduction.
  • ISO 9001:2015 implementation.
  • ISO 9001:2015 internal auditor.

Qualifications/Experience 

  • Minimum 3-5 years' experience maintaining and improving an ISO 9001 quality management system.
  • Proven experience conducting internal and supplier audits.
  • Experience coordinating external certification audits.
  • Experience managing corrective action and continual improvement processes.

General requirements:

  • Proficient in Microsoft Office Suite.
  • Excellent written and verbal communication skills in English.
  • Afrikaans proficiency advantageous.
  • Valid driver's licence.
