Job Description:

Job Title: Debtors Clerk

Department: Finance

Reports To: Finance Manager / Accountant

Job Purpose:


To administer the debtors (accounts receivable) function by processing invoices, allocating customer payments, reconciling accounts, following up on overdue accounts, and ensuring accurate financial records.


Key Responsibilities

  • Generate and issue customer invoices and statements.
  • Allocate customer payments accurately to debtor accounts.
  • Reconcile customer accounts and resolve discrepancies.
  • Monitor debtor ageing reports and follow up on overdue accounts.
  • Contact customers by phone or email to collect outstanding payments.
  • Process credit notes and account adjustments where required.
  • Investigate and resolve customer billing and payment queries.
  • Prepare weekly and monthly debtor reports for management.
  • Maintain accurate debtor records and supporting documentation.
  • Assist with month-end closing procedures and account reconciliations.
  • Ensure compliance with company credit policies and financial procedures.
  • Collaborate with sales and customer service teams to resolve account issues.


Qualifications

  • Grade 12 (Matric); Certificate or Diploma in Accounting, Bookkeeping, or Finance is an advantage.
  • 2–3 years' experience in a debtors/accounts receivable role.
  • Experience with accounting software (e.g., Pastel, Sage, SAP, or similar).
  • Proficiency in Microsoft Excel and other Microsoft Office applications.

  • Reduction in overdue accounts and bad debts.
  • Accurate and timely reporting.
