Job Description:
Job Title: Debtors Clerk
Department: Finance
Reports To: Finance Manager / Accountant
Job Purpose:
To administer the debtors (accounts receivable) function by processing invoices, allocating customer payments, reconciling accounts, following up on overdue accounts, and ensuring accurate financial records.
Key Responsibilities
- Generate and issue customer invoices and statements.
- Allocate customer payments accurately to debtor accounts.
- Reconcile customer accounts and resolve discrepancies.
- Monitor debtor ageing reports and follow up on overdue accounts.
- Contact customers by phone or email to collect outstanding payments.
- Process credit notes and account adjustments where required.
- Investigate and resolve customer billing and payment queries.
- Prepare weekly and monthly debtor reports for management.
- Maintain accurate debtor records and supporting documentation.
- Assist with month-end closing procedures and account reconciliations.
- Ensure compliance with company credit policies and financial procedures.
- Collaborate with sales and customer service teams to resolve account issues.
Qualifications
- Grade 12 (Matric); Certificate or Diploma in Accounting, Bookkeeping, or Finance is an advantage.
- 2–3 years' experience in a debtors/accounts receivable role.
- Experience with accounting software (e.g., Pastel, Sage, SAP, or similar).
- Proficiency in Microsoft Excel and other Microsoft Office applications.

- Reduction in overdue accounts and bad debts.
- Accurate and timely reporting.
