Account Manager – Contractor Services & Mobilisation (Namibia JV)

Position Overview
Reporting to the Projects/Accounts Manager, the Account Manager – Contractor Services & Mobilisation will be responsible for the end-to-end coordination, administration and management of expatriate and local contractors supporting WRS's Namibian Joint Venture operations.
The role will act as the primary operational liaison between contractors, clients, the JV partner and internal stakeholders, ensuring all immigration, onboarding, logistics and contractor management processes run smoothly, compliantly and efficiently.
This position combines contractor operations, account management and compliance oversight, with ownership of contractor experience and service delivery across assigned projects.
Main Duties & Responsibilities
Role Purpose
To manage contractor administration, immigration compliance and in-country logistics while maintaining strong client and contractor relationships, ensuring seamless mobilisation, high service standards and full regulatory compliance within Namibia.
Account & Stakeholder Management
- Act as the primary point of contact for assigned client accounts and expatriate contractors
- Build strong, trusted relationships with clients, contractors and JV partners
- Provide regular updates on mobilisation progress, contractor status and operational issues
- Manage expectations and resolve queries quickly and professionally
- Identify opportunities to improve service delivery and operational efficiency
Immigration & Compliance
- Oversee and manage all immigration processes for expatriate personnel
- Coordinate visas, work permits and regulatory documentation in line with Namibian law
- Ensure all contractors meet right-to-work, compliance and legal requirements prior to mobilisation
- Maintain audit-ready records and documentation
- Liaise with local authorities and regulatory bodies where required
Contractor Administration
- Manage day-to-day administration of expatriate and local contractors
- Maintain accurate records of contracts, rates, extensions and documentation
- Coordinate onboarding and offboarding processes
- Issue assignment paperwork and ensure full documentation completion
- Support paytables and costing accuracy where required
Mobilization & Logistics
- Organise in-country logistics including travel, accommodation and transport
- Coordinate contractor changeovers and mobilisation schedules
- Ensure contractors have clear instructions and a seamless transition to site
- Manage emergency or last-minute logistical changes
Reporting & Operational Oversight
- Prepare regular reports on contractor status, immigration compliance and mobilisation activity
- Track contractor headcount, costs and timelines
- Support payroll and recharge reconciliation
- Monitor service levels and KPIs
Person Specification & Requirements
Experience
- Experience in account management, contractor coordination, HR operations, mobility or workforce administration
- Experience supporting expatriate or international workforces preferred
- Exposure to immigration, visas or regulatory processes desirable
- Experience in client-facing or service delivery roles beneficial
- Experience within recruitment, projects, or contractor-heavy environments advantageous
Knowledge
- Understanding of Namibian employment and labour regulations
- Knowledge of work permits, visas and right-to-work requirements
- Awareness of contractor compliance and documentation processes
- Understanding of payroll/paytables or contractor costing principles
- Familiarity with operational reporting and service delivery metrics
