HR Coordinator
Job Description:
Job Purpose
- Take ownership of all employee lifecycle activities by coordinating recruitment, candidate sourcing, onboarding, probation management, apprenticeships, internships, training and development, competency management, employee movements, and termination processes.
- Ensure the organisation attracts, develops, and retains competent employees while maintaining accurate records, regulatory compliance, and effective workforce planning support.
Responsibilities
- Coordinate the full recruitment cycle from requisition to appointment.
- Draft and advertise vacancies.
- Screen applications and shortlist candidates.
- Schedule interviews and assessments.
- Conduct reference and qualification checks.
- Prepare employment offers and onboarding documentation.
- Coordinate onboarding and induction programs.
- Build and maintain a robust talent pool.
- Maintain recruitment records and tracking metrics.
Training & Development
- Coordinate all internal and external training initiatives.
- Maintain the internal training matrix.
- Monitor employee competencies, certifications, and licence expiry dates.
- Identify training needs in collaboration with departmental managers.
- Schedule mandatory and refresher training sessions.
- Liaise with external training providers.
- Maintain accurate training records and employee training files.
- Evaluate the overall effectiveness of training programs.
- Assist with skills development initiatives, apprenticeships, and internships.
Compliance
- Ensure training complies with Namibian legislation, client requirements, and organisational standards.
- Maintain records ready for audits and compliance inspections.
- Ensure statutory and mandatory training remains fully current.
Administration
- Prepare monthly recruitment and training reports.
- Track recruitment KPIs and training completion rates.
- Manage the allocated training budget (if delegated).
- Update HR systems with accurate recruitment and training data.
Other
- Assist with time and attendance processing and other general Human Resource functions as needed.
Key Relationships
- Internal: Management, other departments, and employees.
- External: Recruitment agencies, labour brokers, job applicants, educational institutions (universities, colleges, vocational centers), training providers, and skills development facilitators.
Knowledge
- Sound knowledge of Human Resource Management principles and employee lifecycle processes.
- Strong understanding of recruitment, selection, onboarding, performance management, training, and talent development practices.
- Working knowledge of Namibian labour legislation, employment equity requirements, and HR compliance obligations.
- Familiarity with HR information systems, employee record management, and HR reporting.
Qualifications
- Diploma or Degree in Human Resources, Industrial Psychology, Business Administration, or a related field.
Experience
- Industry background in engineering and manufacturing is highly advantageous.
- Proficiency with HRIS systems and Microsoft Office (particularly Excel).
Certifications to Acquire Post-Hire
- ISO 9001 (Quality Management Systems)
- ISO 45001 (Occupational Health and Safety)
