Job Description:

The Freight Controller is responsible for planning, coordinating, monitoring, and controlling the movement of cargo, inventory, and transport activities to ensure efficient, accurate invoicing, and cost-effective freight operations. The role ensures that all inbound and outbound cargo is processed in accordance with the clients' requirements, company procedures, statutory regulations, and operational targets. The Freight Controller serves as a critical link between clients, transport providers, warehouse operations, clearing agents, shipping lines, and internal departments to ensure seamless cargo flow.

Key Responsibilities

Freight Planning and Coordination

  • Coordinate and control all inbound and outbound freight activities.
  • Schedule cargo collections, deliveries, and transport movements.
  • Ensure cargo is dispatched and received within agreed timelines.
  • Liaise with transport service providers, shipping lines, freight forwarders, and customers.
  • Monitor freight movement from origin to final destination.
  • Ensure transport capacity is available to meet operational requirements.
  • Optimize freight utilization and vehicle loading efficiencies.
  • Communicate delivery schedules and operational updates to relevant stakeholders.

Freight Operations Control

  • Monitor daily freight operations and cargo movements.
  • Track shipment progress and proactively address delays.
  • Ensure cargo is handled according to customer specifications and regulatory requirements.
  • Verify shipment status and provide updates to customers and management.
  • Investigate and resolve freight discrepancies and service failures.
  • Ensure all cargo movements are accurately recorded and documented.
  • Coordinate urgent and priority shipments as required.

Inventory and Stock Control Support

  • Work closely with the Freight and Stock Manager to maintain inventory accuracy.
  • Verify stock movements between warehouses, depots, customers, and operational sites.
  • Reconcile dispatch and receiving documentation against stock records.
  • Monitor inventory transactions and report variances.
  • Assist with stock counts and inventory audits.
  • Ensure all freight transactions are correctly reflected in inventory systems.
  • Support stock investigations and discrepancy resolution.

Documentation and Compliance

  • Prepare and verify transport documentation for invoicing.
  • Ensure accuracy of delivery notes, cargo manifests, invoices, transport orders, packing lists, waybills, and proof of delivery documents.
  • Maintain complete freight transaction records.
  • Verify customs and regulatory documentation where applicable.
  • Ensure compliance with company policies and legal requirements.
  • Maintain document filing systems for operational records and audits.

Customer Service and Stakeholder Management

  • Serve as a primary operational contact for clients
  • Provide shipment status updates and delivery confirmations.
  • Address customer queries, complaints, and service concerns professionally.
  • Build positive working relationships with transporters, clienets, suppliers, and internal teams.
  • Escalate service-related issues to the Freight and Stock Manager when necessary.

Transport Management

  • Coordinate fleet utilization and transport scheduling.
  • Monitor vehicle loading, dispatch, and routing activities.
  • Ensure transport providers meet service level requirements.
  • Verify Proof of Delivery (POD) documentation.
  • Monitor vehicle turnaround times and transport performance.
  • Assist in evaluating transport costs and service efficiency.

Operational Reporting

  • Prepare and submit daily, weekly, and monthly freight reports.
  • Monitor freight performance indicators.
  • Produce reports regarding deliveries, stock movements, transport utilization, and service levels.
  • Analyze operational trends and recommend improvements.
  • Report delays, incidents, deviations, and operational risks.

Financial and Cost Control

  • Verify freight charges, transport invoices, and related operational costs.
  • Assist with freight cost allocation and reconciliation.
  • Monitor transport expenditure against approved budgets.
  • Identify opportunities to improve operational efficiencies and reduce costs.
  • Assist the Freight and Stock Manager with budget forecasting and cost control initiatives.

Health, Safety, Quality and Environmental Compliance

  • Comply with all company Health, Safety, Environment and Quality (HSEQ) requirements.
  • Promote a safe working environment.
  • Report incidents, hazards, near misses, and unsafe practices.
  • Ensure compliance with cargo handling and transport safety standards.
  • Participate in safety meetings and audits.
  • Support continuous improvement initiatives.

Minimum Qualifications

Essential

  • Grade 12 (NSSC/NSSCO) or equivalent.
  • Diploma or Certificate in Logistics, Supply Chain Management, Transport Management, Warehouse Management, Business Administration, or related field.
  • Drivers licence Code B
  • Computer Literacy (Microsoft Office Suite).

Preferred

  • Degree in Logistics and Supply Chain Management.
  • ERP - Oracle experience

Experience Requirements

Essential

  • Minimum 3-5 years' experience in freight, Clearing & Forwarding, or supply chain management.
  • Experience dealing with freight documentation and transport operations.
  • Experience working within inventory and stock control environments.
  • Experience interacting with customers and service providers.

Preferred

  • Experience within port, maritime, mining, distribution, or manufacturing industries.
  • Experience using Enterprise Resource Planning (ERP) systems.
  • Experience managing third-party logistics providers.
  • Experience with customs and import/export procedures.
